Differences between the Cash Book balance and the Pass Book balance are caused by a time lag in recording, by transactions recorded by only one of the two parties, and by errors in either the Cash Book or the Pass Book.

For Kerala Plus One (DHSE) Accountancy, the reasons for the difference between the bank column of the Cash Book and the Pass Book are:

A. Differences due to timing (time lag)

  1. Cheques issued but not yet presented — the firm credits its Cash Book when a cheque is issued, but the bank debits the customer only when the cheque is presented and paid.
  2. Cheques deposited but not yet collected/credited — the firm debits its Cash Book on depositing a cheque, but the bank credits the account only after the cheque is realised.

B. Entries made only by the bank (not yet in the Cash Book)

3. Bank charges, commission and interest on overdraft debited by the bank.

4. Interest allowed by the bank / amounts collected by the bank (dividends, interest, direct deposits by customers) credited by the bank.

5. Direct payments made by the bank on standing instructions (insurance premium, EMI, rent, etc.).

6. Dishonour of a cheque or bill debited by the bank but not yet recorded by the firm.
