Planning is the management function of deciding in advance what is to be done, when, how, and by whom — it sets objectives and chooses, from among alternatives, the best future course of action. Its importance can be explained through any four points: it provides direction, it reduces the risk of uncertainty, it reduces overlapping/wasteful activities, it promotes innovative ideas, and it facilitates decision-making.

Definition: Planning is the primary function of management that involves setting objectives and deciding in advance the best possible course of action to achieve them. It is forward-looking and decides WHAT is to be done, HOW it is to be done, WHEN it is to be done, and WHO is to do it — essentially a bridge between where an organisation is today and where it wants to be.

1. Planning provides direction: By clearly stating objectives in advance, planning ensures that all employees understand what they are working towards, and effort is channelled in one coordinated direction instead of every department/individual moving independently.

2. Planning reduces the risk of uncertainty: Because planning involves looking ahead and anticipating change, it helps a firm prepare for future uncertainties and sudden changes in the environment, rather than simply reacting to events as they happen.

3. Planning reduces overlapping and wasteful activities: Since planning coordinates the activities of different departments and individuals towards common objectives, it minimises duplicate or cross-purpose efforts and the wastage of time, money and resources that would otherwise result.
