You already do a version of this yourself. Before exams, you figure out how many hours you need for each subject, which topics are weak, and what resources (notes, books, help from friends) you'll require. You don't just sit down on the morning of the exam and hope for the best. Organisations are no different — except the "subjects" are jobs, the "hours" are people's skills, and the "resources" are the employees themselves.

Human Resource Planning is the process by which an organisation ensures that it has the right number of people, with the right skills, in the right jobs, at the right time. It is a forward-looking activity — it looks at future business goals and asks: What kind of workforce will we need to achieve these goals?
HRP is not about filling vacancies that exist today. It is about anticipating future needs and preparing for them. A company that only hires when a position falls empty is reacting, not planning.
Why It Matters
Without HRP, an organisation faces two equally dangerous problems:
- Shortage of talent — You have the work but not the people to do it. Projects stall, quality drops, and existing employees burn out from overwork.
- Surplus of staff — You have more people than work. This means wasted salaries, low morale, and eventually layoffs, which damage the company's reputation and employee trust.
HRP helps avoid both extremes. It also gives the organisation time to train existing employees, recruit from outside, or restructure roles — rather than scrambling at the last moment.

Assessing current human resources — Take stock of who you already have. This means a human resource inventory: a detailed record of each employee's qualifications, skills, experience, and potential. Think of it as a team roster with notes on each player's strengths.
