Meaning. Planning is the process of thinking in advance what is to be done, when it is to be done, how it is to be done, and by whom it is to be done. It involves setting objectives and deciding in advance the best alternative course of action to achieve them. Planning is the first and most fundamental function of management — all other functions are performed within the framework of plans laid down.

Importance of planning:

  • Provides direction — ensures objectives are clearly stated so all employees' efforts point in the same direction.
  • Reduces risk of uncertainty — planning enables a manager to look ahead and anticipate changes, preparing to face unexpected events.
  • Reduces overlapping and wasteful activities — plans serve as the basis for coordinating the activities of different departments, avoiding duplication of effort.
  • Promotes innovative ideas — being the first function, planning acts as the base for creative/out-of-the-box thinking.
  • Facilitates decision-making — planning helps managers evaluate alternative courses of action and choose the most viable one.
  • Establishes standards for controlling — planning provides the standards against which actual performance is measured in the controlling function.
