A committee is a group of individuals assigned specific responsibilities to plan, organize, and execute different aspects of a sports event, ensuring smooth coordination and successful delivery.

When you watch a major tournament unfold — whether it's a district athletics meet or a national championship — what you see on the field is only the visible tip of a much larger organizational effort. Behind every successful sports event stands a network of committees, each handling a distinct slice of the work. A committee, in this context, is a specialized team formed to manage one particular function of the event, from the technical rules to the medical cover to the publicity campaign.

The fundamental reason committees exist is division of labor. No single person or even a small group can handle the dozens of simultaneous tasks a sports event demands. By breaking the workload into logical domains and assigning each to a dedicated team, the organizing body ensures that every detail receives focused attention and that accountability is clear.

The role of committees

Each committee operates within its own sphere but coordinates with others to create a unified event. Here are the principal roles:

Technical Committee: Ensures the competition itself runs according to the rules of the sport. This team handles draw procedures, schedules matches or heats, appoints and briefs officials (referees, umpires, judges), verifies equipment standards, and resolves on-field disputes. In essence, they are the guardians of fair play and technical correctness.

Organizing / Executive Committee: Acts as the central coordinating body. It oversees the entire event, makes high-level decisions, allocates budgets across other committees, and ensures that timelines are met. The organizing committee often includes the event director, secretary, and treasurer.

Finance Committee: Manages the budget — both income (sponsorships, entry fees, grants) and expenditure (venue hire, equipment, prizes, hospitality). They track costs, approve payments, and ensure financial transparency.

Publicity / Media Committee: Promotes the event to attract participants, spectators, and sponsors. This includes designing posters, managing social media, liaising with journalists, arranging press conferences, and sometimes live-streaming or broadcasting the competition.

Grounds and Equipment Committee: Prepares the venue — marking fields, setting up nets or hurdles, arranging seating, ensuring lighting and sound systems work, and maintaining the playing surface. They also procure and inspect all competition equipment.

Medical and First-Aid Committee: Provides on-site medical cover. This team includes doctors, physiotherapists, and paramedics who handle injuries, arrange ambulance standby, stock first-aid kits, and sometimes conduct pre-event health screenings.

Hospitality / Accommodation Committee: Looks after the welfare of participants and guests — arranging lodging, meals, transport between venues, and reception desks. Comfortable athletes perform better, so this role directly affects the event's quality. …
