Format (Specimen) of the Journal
The Journal is ruled in a standard five-column format so that every entry, whatever the transaction, is recorded in exactly the same structured way.
| Date | Particulars | L.F. | Debit Amount (₹) | Credit Amount (₹) |
|---|---|---|---|---|
| Date of the transaction | Name of the account debited …Dr. | |||
| To Name of the account credited | ||||
| (Being — narration) | Ledger folio (page) number | Amount debited | Amount credited |
Explanation of each column
- Date column — records the date on which the transaction took place (day, month and year), entries being recorded strictly in chronological order.
- Particulars column — the account to be debited is written first, on the first line, followed by the abbreviation "Dr." on the right; on the next line, the account to be credited is written, preceded by the word "To"; the narration is written below both lines, in brackets, beginning with the word "Being".
- L.F. (Ledger Folio) column — left blank at the time of journalising, and filled in only when the entry is actually posted to the Ledger, with the page number of the ledger account concerned. It serves as a cross-reference between the Journal and the Ledger, and also indicates that posting has been completed.
- Debit Amount column — the amount of the transaction is written here, against the account debited.
- Credit Amount column — the same amount is written here, against the account credited. Since every transaction affects at least two accounts equally under the Double Entry System, the debit and credit columns of a simple journal entry always show the identical figure.
