Features of Accounting Software
Not every accounting software is equally good — the Balbharati textbook lists several features that distinguish a well-designed accounting package.
1. Simplicity and user-friendliness. The software should be easy to learn and operate, with a clear, logically laid-out screen for entering vouchers and viewing reports, so that a person with basic accounting knowledge can use it after modest training.
2. Speed. Vouchers should be posted, and reports generated, quickly, even as the volume of data grows over the years.
3. Accuracy. Built-in checks — such as ensuring every voucher's debit total equals its credit total before it can be saved — should prevent basic recording errors.
4. Reliability. The software should consistently produce correct output and should not crash or corrupt data during normal use.
5. Quality of MIS reports. Good software offers a wide range of ready reports (Ledger, Trial Balance, Trading and Profit and Loss Account, Balance Sheet, stock and outstanding statements) and, ideally, the flexibility to design additional custom reports.
6. Scalability. The software should continue to perform well as the number of vouchers, ledgers and users grows with the business.
7. Security and access control. Password protection and user-wise access rights should allow the business to control who can enter, view, or alter which parts of the data.
8. Backup and data-recovery facility. The software should make it simple to take regular backups of data and to restore them if the original data is lost or damaged.
