1.2.2 Logistics Committee

The Logistics Committee has a wider scope of work than the others, ranging from transportation, boarding and lodging to refreshment, decoration and the conduct of the ceremonies that form part of the event. It may set up various sub-committees as per requirement. This committee looks after the Opening Ceremony, the Victory Ceremony and the Closing Ceremony, hires the photographer and videographer, and arranges refreshment, decoration, reception, entertainment, light and sound, and the medical aspect of the event.

Pre-sports event / tournament. Before the event, the committee looks after the placement, arrangement and requisition for the purchase of stationery, chairs, tables, souvenirs, light-and-sound equipment and bouquets; sends invitations to stakeholders including other schools, institutions and VIP guests; raises requisitions for medals and certificates; and arranges refreshments, boarding and lodging, the selection of volunteers, the preparation of the first-aid kit and the arrangement of medical facilities.

During sports event / tournament. While the event is in progress, the committee is responsible for conducting the Opening and Closing ceremonies, checking registration, distributing refreshments, managing spectators, handing over medals and certificates, and transporting players and participants from their place of stay to the field and back.

Post sports event / tournament. After the event, the committee supervises the cleaning of the venue and the placing of all items back in their appointed places.

Why this committee matters. Logistics is what the audience actually experiences on the day — a well-run opening ceremony, enough chairs and water for spectators, a working public-address system, and a first-aid kit that is genuinely stocked and staffed. A tournament can be technically perfect and still be remembered as poorly organised if the logistics fail, which is why this committee is given the widest scope of any of the four and is often broken into sub-committees for reception, catering, decoration and medical aid. …
