The element that converts a message into words, symbols, or gestures is called encoding, and it is the sender’s job in the communication process.

In any act of communication, the sender begins with an idea or feeling they want to share. That raw thought, however, cannot travel directly to the receiver. It must first be shaped into a form that can be transmitted — and that shaping is what we call encoding. Think of it as translation: the sender translates an internal meaning into an external code, whether that code is spoken language, written text, hand gestures, facial expressions, or even symbols like traffic lights or emojis.

The NCERT textbook on Business Studies (Class 12) explains this clearly. In the communication process model, the sender is the originator of the message. But before the message can move along the channel, the sender must encode it — that is, choose the right words, signs, or symbols that the receiver will understand. If the sender speaks in English but the receiver knows only Hindi, the encoding has failed because the code is mismatched. Similarly, a thumbs-up gesture might mean “good job” in one culture but be offensive in another. Encoding is therefore not just about picking any symbol — it is about picking the right symbol for the receiver.

Encoding is not limited to language. A nod, a wave, a raised eyebrow, or even a diagram in a presentation are all forms of encoding. The key is that the sender consciously or unconsciously selects a medium of expression that carries the intended meaning.

Once the message is encoded, it travels through a channel (like speech, email, or a phone call) to the receiver. The receiver then decodes it — the reverse process of interpreting the symbols back into meaning. If encoding is done poorly, decoding will be distorted, and communication breaks down.
