Controlling means matching actual performance to plans; its process is set standards → measure performance → compare → analyse deviations → take corrective action.

Definition: Controlling is the function of ensuring that activities in an organisation are performed as per the plans. It involves measuring actual performance, comparing it with predetermined standards, finding deviations and taking corrective action. It is a pervasive, goal-oriented and both backward- and forward-looking function.

Steps in the process of controlling:

  1. Setting Performance Standards — Establish the criteria/targets against which performance is to be measured. Standards should be as quantitative as possible (e.g., units, cost, time) but may be qualitative (e.g., goodwill).
  2. Measurement of Actual Performance — Measure the work actually done in the same units as the standards, through reports, personal observation, samples and performance records.
  3. Comparison of Actual Performance with Standards — Compare the measured performance with the standards to find out the extent of deviation, if any.
  4. Analysing Deviations — Examine the deviations to find their causes. Using management by exception (focus on significant deviations) and critical point control (focus on key areas), the manager decides which deviations need attention and keeps them within an acceptable range. …
