Definition of Motivation: Motivation is the process of inducing and inspiring people to put in their best, willingly, for the achievement of organisational goals, by satisfying their needs and wants through incentives. The word comes from 'motive' — an inner urge that drives behaviour.

Steps / Process of Motivation: Motivation works as a chain:

  1. Unsatisfied need — The process begins with a felt, unsatisfied need (e.g., the need for more income or recognition).
  2. Tension/Drive — The unsatisfied need creates tension and an inner drive to reduce it.
  3. Search behaviour / Action — The person acts or searches for ways to satisfy the need (e.g., works harder to earn a bonus).
  4. Goal attainment / Need satisfaction — The action leads to the goal and the need is satisfied.
  5. Reduction of tension — The satisfaction reduces tension; a new need then arises and the cycle repeats.

Importance of Motivation (as a function of management):

  1. Improves performance and productivity — Motivated employees work more efficiently, converting their ability into actual high performance.
  2. Willing cooperation and higher morale — It secures the willing cooperation of employees and keeps morale high.
