Indexing is a guide showing where a record is kept for quick retrieval; office indexes include page, loose-leaf, card, vowel and visible-card indexes.

Meaning of Indexing: Indexing is the process of preparing a guide or list — of names, subjects or numbers with their reference/location marks — that shows where a particular file or record is kept. It supports filing: filing stores the records, while the index tells exactly where each record is, so that it can be traced and taken out quickly without searching the whole file.

Indexes used in a business office:

  1. Page Index (Bound-book Index) — The index is written on the pages of a bound register/book; simple and cheap, but pages cannot be rearranged, so it suits small, stable records.
  2. Loose-leaf Index — The index is kept on loose sheets held in a binder, so pages can be added, removed or rearranged as records change — more flexible than the bound index.
  3. Card Index — A separate card is prepared for each item (name/subject) and the cards are arranged in order in a tray or drawer. Cards can be inserted or removed easily, making it very flexible and popular.
  4. Vowel (Alphabetical) Index — Items are grouped according to the vowels (a, e, i, o, u) following the first letter, allowing quick alphabetical location in large files. …
