It is kept by a petty cashier and is prepared on the imprest system in an analytical, multi-column form.
Meaning. In every business there are many small payments that, if recorded in the main cash book, would overload it and waste the chief cashier's time. To avoid this, a separate petty cash book is maintained by a petty cashier who handles only these small payments.
How it is prepared (imprest system).
- The head cashier estimates the small expenses for a period (say a week or month) and gives the petty cashier that fixed sum, called the imprest amount.
- During the period the petty cashier makes the small payments and records each on the payment side in the appropriate analytical column (postage, stationery, cartage, conveyance, sundry expenses, etc.), with the receipt of the imprest shown on the receipt side.
- At the end of the period the columns are totalled; the grand total of payments is reimbursed by the head cashier.
- After reimbursement the petty cashier again has the full imprest amount to start the next period — hence the balance in hand at the start of each period is always the same.
