Efficiency is about doing things right (minimising cost/resource use), while effectiveness is about doing the right things (achieving the target). Ashita was both efficient and effective; Lakshita was efficient but not effective.

In management, two words that often travel together but mean very different things are efficiency and effectiveness. Think of efficiency as the means — how well you use your resources (time, money, materials) to get the job done. Effectiveness, on the other hand, is the end — whether you actually achieved the goal you set out to accomplish. A manager or employee can be good at one but poor at the other, and the best performers excel at both.

Let’s apply this to the case of Ashita and Lakshita at Dazzling Enterprises. The firm had an urgent order for 1,000 bracelets to be delivered in 4 days. Each employee was assigned 500 bracelets, with a target cost of Rs 100 per bracelet. That means the expected total cost for each was 500 × Rs 100 = Rs 50,000. The goal was clear: produce 500 units within 4 days, at or below Rs 50,000.

Now look at Ashita. She produced exactly 500 bracelets — the full target — within the 4-day deadline. That makes her effective: she achieved the desired result. Her actual cost was Rs 55,000, which is Rs 5,000 more than the planned Rs 50,000. But here’s the key: the cost per bracelet she incurred was Rs 55,000 ÷ 500 = Rs 110. That is higher than the target of Rs 100 per bracelet. So was she efficient? Efficiency means minimising resource usage — in this case, cost. Since she spent more than planned per unit, she was not efficient. She got the job done, but at a higher cost.

Note

Some students confuse "efficiency" with simply completing work quickly. Efficiency is about the ratio of output to input — here, cost per unit. If you spend more than the standard, you are inefficient, even if you meet the deadline. …
