A query is a question asked of the database that retrieves exactly the records you want from one or more tables. It can also sort the result or perform calculations, and it stores no data of its own — it pulls the data from tables each time it runs.

Creating a query in Design View (Query Designer):

  1. In the database window, click Queries, then Create Query in Design View....
  2. In the Add Table or Query dialog, choose the table(s) to read from, then close the dialog; the chosen tables appear at the top.
  3. Add fields to the design grid by double-clicking them or dragging them down — each grid column is one output field.
  4. Use the grid rows to control the result: set an Alias (a friendlier column heading), a Sort order (ascending/descending), tick or untick Visible, and type a Criterion to keep only matching rows (for example, 'Pune' under a City field).
  5. Run the query (F5) to see the result, then Save it with a name. …
