Income received in advance is shown under the sub-head Other Current Liabilities in the Balance Sheet of a company.

Concept and Accounting Treatment

Income received in advance (also called unearned income) represents money received by the company for goods or services that are yet to be delivered. For example, if a magazine publisher receives subscription fees for the next year, the company has an obligation to deliver magazines in the future. Until that obligation is fulfilled, the amount cannot be treated as revenue — it is a liability.

The key accounting principle here is the matching concept: revenue should be recognised only when it is earned, not when cash is received. Since the income relates to a future period, the company still owes the service or product to the customer. This creates a present obligation arising from past events (receipt of cash), which fits the definition of a liability.

In the Balance Sheet, liabilities are classified as either current or non-current. Income received in advance is almost always a current liability because:

  • The obligation is typically settled within the company's operating cycle (usually 12 months).
  • The related service or goods are delivered in the near future.

Balance Sheet Presentation

Under the Schedule III of the Companies Act, 2013, the Balance Sheet of a company is presented in a prescribed format. The liabilities side is divided into:

  1. Shareholders' Funds
  2. Share Application Money Pending Allotment
  3. Non-Current Liabilities
  4. Current Liabilities

Current Liabilities are further sub-divided into:

  • Short-term Borrowings
  • Trade Payables
  • Other Current Liabilities
  • Short-term Provisions

Income received in advance falls under the sub-head 'Other Current Liabilities'. This sub-head includes items like:

  • Interest accrued but not due
  • Unpaid dividends
  • Calls in advance …
